Philadelphia Open Studio Tours 2025 Terms & Conditions
Funded by PNC Arts Alive, the Philadelphia Open Studio Tours (POST) 2025 event is free for professional visual artists with publicly accessible studios in Philadelphia. Artists must not be enrolled in a degree program to participate.
POST Dates and Locations:
- Studios EAST of Broad Street: Saturday, October 11, and Sunday, October 12, 2025
- Studios WEST of Broad Street: Saturday, October 18, and Sunday, October 19, 2025
- Hours: Studios open to the public from 12:00 PM to 6:00 PM each day
- Participation: POST is a two-day commitment based on studio location relative to Broad Street as either East or West. Artists and Community Partners must participate both days of their assigned weekend for the full duration of the event.
– Deadline to register: Monday, June 30, 2025 at 11:59 PM. All profiles must be complete by this date.
1. Eligibility:
a. Participants must have publicly accessible studios within Philadelphia city limits with any one of the following accessibilities: Street-level direct entrance; Call box with name/studio clearly labeled; Participant will have someone stationed downstairs to let visitors in.
b. Participants must be at least 18 years old.
c. Participants must not currently be enrolled in a degree program (i.e. BFA, MFA).
d. Studio spaces must be open to the public during event hours, 12:00 - 6:00 PM each day of the participant’s one assigned POST weekend.
e. Participants are responsible for securing a studio space that complies with event accessibility requirements. CFEVA will not place artists in need of a studio space.
f. Participants who do not own their studio (i.e. a rented space in a building) must have permission from the building, landlord and/or property manager to participate in POST.
g. Participants who register their studio for POST must coordinate with all parties (landlord/manager, tenants) to ensure their studio can be open to the public during the assigned POST hours.
2. Registration:
a. Participants must first complete the interest survey in order to register to participate in POST 2025. Participants who complete the interest survey on or before April 30 will receive the link to register on May 1. Participants who complete the interest survey after May 1 will be sent the registration link on a rolling basis.
b. Participants and partners must complete their online registration form by June 30, 2025. Incomplete profiles will be removed after the deadline.
c. Registration applies to individual participants only and cannot be shared or transferred.
3. Community Partners
a..Community Partners are spaces which support artists during POST, and can include, but are not limited to, galleries, exhibition spaces, schools, and other arts institutions that are open to the public. Community Partners may also include any Philadelphia businesses open to the public, including but not limited to cafes, coffee shops, restaurants, and stores.
b. Community Partner locations must register as either hosting an artist(s) or not hosting artists. This status may be altered no later than June 30, 2025. CFEVA staff must be contacted of the change from hosting to not hosting, or vice versa.
b. Community Partner registration is nonrefundable.
c. Community Partners must be open to the public for the duration of the event, 12-6 PM, on the assigned weekend, either East or West of Broad Street.
d. All participation terms and conditions which apply to artists apply to Community Partners participating in the program.
3. Cancellation:
a. Participants must promptly inform CFEVA of last-minute cancellations and notify their own audiences accordingly.
b. Participants who cancel their participation after print materials are finalized must notify their audiences of their withdrawal and provide signage (such as posters on their front door) for visitors.
c. Participants will forfeit their participation in 2026 and 2027 if their studio is not open during their assigned POST hours or if they cancel their participation without notifying CFEVA.
d. If a participant cancels their involvement at the last minute (i.e. after print materials have gone in circulation) artists agree that visitors may still visit their studio as a spot on the map. Participants are responsible to provide appropriate signage to inform visitors they are no longer open.
e. If at any point during POST that the participant must step away from their studio, the participant is responsible for securing someone to be physically in their studio.
4. Studio Requirements:
a. Studios must be open to the public on the assigned event days and times.
b. Participants are responsible for securing their own artwork and belongings.
c. Participants must track visitor attendance via provided sign-in sheets. These will be submitted to CFEVA after the event.
d. Participants must use signage provided by CFEVA to indicate their open studio (balloons and posters).
4. Promotion and Marketing:
a. CFEVA may use participants' images and information for event promotion. Atists retain image rights.
b. Participants are encouraged to promote their open studios using CFEVA-provided media templates and resources.
5. Print and Online Materials:
a. Participants agree to use CFEVA's print and digital materials for promotion within their community.
b. Participants must complete their online profiles by the June 30, 2025 deadline to ensure inclusion in printed and online directories. Artists with incomplete profiles will be removed from the POST program.
6. Profile Requirements:
a. Participants are responsible for accuracy in their online profiles to ensure correct visitor information.
b. CFEVA may edit or remove content that is inaccurate or inappropriate.
c. Incomplete profiles after the deadline will not appear in the event materials.
d. Participants understand that any edits made to their online profile after the deadline will not be reflected in print.
7. Sales and Transactions:
a. Participants may sell their work during the event. Artists are responsible for all sales.
8. Liability:
a. Participants are responsible for securing their own liability insurance.
b. CFEVA is not liable for loss, damage, or injury during the event.
10. Event Changes or Cancellations:
a. CFEVA reserves the right to alter event dates or cancel if necessary.
11. Participation Survey:
a. A post-event survey will be sent to gather feedback. Participants agree to complete this survey upon registration.
b. By registering, participants agree to receive email communications from CFEVA, with the option to unsubscribe after the event passes.
12. Termination of Participation:
a. CFEVA reserves the right to end participation for any participant who violates these terms, affecting future event eligibility.
13. Acknowledgment of Terms:
a. By registering, participants confirm they have read and accept the POST 2025 terms and conditions.
14. New Free Artist Registration Benefits for 2025:
Artists who register will receive:
- Print Directory Listing: Artist name, studio address, primary medium, and social media handles.
- Online Profile: Includes up to 6 high-resolution images, artist statement, bio, and links.
- Interactive Map Listing: Studio location on the online map.
- Access to POST Event Activities: Artists can host receptions, workshops, and other public activities.
- Marketing Resources: Templates, posters, and guides to promote participation.
15. Deadlines and Promotions:
a. Profile Completion: Must be completed by June 30, 2025, for inclusion in event materials. Incomplete profiles will be removed from the online directory and will not be included in the print materials.
b. Self-Promotion: CFEVA will provide materials to support participants’ own promotions within their communities, including directories, posters, and balloons, underscoring the hyper-local focus of POST. Participants agree to distribute these materials to the best of their ability and use them to identify their studio as a participating location.
c. If an individual is unable to pick up their print materials, they will contact CFEVA organizers in advance of the open studio event to arrange an alternate opportunity.
d. Artists understand a meeting or potential studio visit by a CFEVA Staff Member may be part of the registration process.
